Administrative Business Lead

The American Recruiting and Consulting Group (ARC Group) is seeking a dynamic Administrative Business Lead for one of our esteemed clients in New York City, NY. This role requires working closely with stakeholders and maintaining notes for the executive, partnering with the Global Head to manage all of the executive's complex administrative and business support needs. You are a self-starter with excellent anticipation and problem-solving skills, high accountability, strong communication abilities, and the capacity to operate independently. This business operates similarly to a financial technology firm, and the executive is a member of the Global Executive Committee.

This is a direct hire opportunity with a Fortune 500 company based in New York City, offering excellent benefits, a competitive salary, and a performance bonus. Your responsibilities



  • Time Management: Thoughtfully manage the leader's schedule, prioritizing and organizing to ensure preparedness for meetings. Make recommendations to the leader(s) regarding prioritization, delegation, and organization.
  • Travel Coordination: Coordinate business travel with an awareness of potential conflicts, and process relevant expenses in line with company policy.
  • Ownership of Deliverables: Take ownership of key deliverables, structuring work to achieve goals while seeing the big picture and understanding long-term impacts.
  • Attention to Detail: Exhibit strong attention to detail in the coordination and communication of logistics.
  • Networking and Communication: Maintain and leverage a broad network of contacts. Effectively communicate and partner with internal stakeholders to achieve goals, serving as the key point of contact for both internal and external stakeholders.
  • Technology Proficiency: Take ownership of the company's technology capabilities, policies, and procedures as they relate to administrative and executive roles.
  • Adaptability: Adapt to changes and effectively communicate and implement new procedures and best practices.
  • Project Management: Manage and support ad hoc projects and initiatives as needed.
  • Business Rhythm Understanding: Understand the rhythm of business for the executive office/team, adjusting schedules according to business priorities.
  • Talent Development: Coach and develop administrative talent.
  • Event Coordination: Orchestrate large meetings, town hall events, and offsites, managing all planning details and coordination.



Requirements:

  • Experience: Minimum of 15 years of total experience, with at least 5 years supporting senior executives, ideally at the C-suite level.
  • Education: Bachelor's degree is highly preferred.
  • Industry: Previous experience supporting executives in the Information Technology (IT) or Finance industry is highly preferred.
  • Skills: Proficient in heavy calendar management, interfacing with senior executives, and travel planning.
  • Communication: Excellent written and verbal communication skills, active listening skills, and the ability to recognize different viewpoints to build consensus.
  • Strategic Thinking: Deep understanding of big-picture goals and how to prioritize effectively to achieve them.
  • Leadership: Ability to lead by example, uphold and inspire the highest ethical standards, and serve as a role model for Administrative Professionals and others.
  • On-Site Requirement: This role is fully on-site. Must be able to work in the office 5 days a week.
