This split position provides coordination for a portion of the Department's Education programs. The position reports to the Pediatrics Health Professions Education Supv 1 as well as the Fellowship Program Directors for Pediatric Allergy and Immunology, Neonatology and Pediatric Critical Care Medicine. The position has vast knowledge of educational information systems, competency and Milestone evaluation systems, and accreditation and regulatory standards. This position is an advisor to Program Directors, Subspecialty Directors, Student Instructors and Faculty in the Department of Pediatrics in regards to Pediatric fellowships.

Minimum Qualifications

  • Experience working in an executive-level office environment and/or providing administrative support.
  • Experience designing complex documents and presentation materials, such as: tables, slides, charts, columnar formatting, graphics, macros, labels and merge documents.
  • Excellent interpersonal, written, and oral communication skills to effectively and professionally communicate with a wide variety of groups/individuals.
  • Investigative skills to elicit information needed to clarify inquiries and requests.
  • Professional skills to handle sensitive or difficult situations diplomatically and to work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives.
  • Strong organizational and time management skills to establish goals, ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions.
  • Planning skills to analyze program needs, goals and objectives to make accurate short- and long-term projections to establish program needs and resource requirements; and to secure potential sources of funds and revenues to meet those requirements.
  • Writing skills to initiate, compose, word process, format, proofread and edit various professional business documents, such as grants and general correspondence.
  • Computer knowledge and skills to apply various programs (word processing, Excel spreadsheets, databases) and software to accomplish assignments, and the ability to learn new software, as necessary.
  • Ability to analyze situations, define problems and/or objectives, identify relevant factors, formulate logical conclusions and suggest alternative solutions.
  • Skills to work independently and cooperatively as a team.
  • Ability to interpret policies and procedures.

Preferred Qualifications

  • Experience in scheduling and coordinating large-scale conferences/meetings and special events.
  • Experience with program coordination in higher education and or a large medical center environment.
  • Experience interpreting policies and procedures.
  • Experience coordinating residency or fellowship programs and/or Continuing Medical Education courses.

  • Working knowledge of AggieTravel, University financial policies and forms preparation.
  • Demonstrated skill to effectively and efficiently manage multiple, complex electronic calendars.
  • Knowledge of UCD/UCDH policies and procedures including but not limited to UCDH Medical Staff policies and procedures. ACGME policies and procedures and JCAHO requirements.
  • Expertise in ACGME requirements, LCME, and University administrative personnel policies and procedures, relevant collective bargaining agreements, affiliation agreements, affirmative action and health/safety guidelines.
  • Skill to transform broad concepts into innovative ideas and strategic plans to achieve goals and objectives.
  • Skill to plan budgets, monitor expenditures, maintain accountability, and establish audit trails.
  • Strong technical skills to operate a computer with the following programs: Microsoft Suite (Word, PowerPoint, Access, Excel) Email, Electronic Residency Application System (ERAS) and MedHub.
