Position Summary:
The Intellectual Property Manager has primary responsibility for
coordinating the daily activities related to managing NJIT's patent acquisition
process, including managing the invention disclosure procedure, maintaining the
intellectual property budgets, reviewing dissertation embargo requests, and
facilitating committee meetings. The position will work closely with the
Associate Vice Provosts and Senior Vice Provost for Research, the Director of
Intellectual Property, and New Jersey Innovation Institute's commercialization
office.

Essential Functions:
-Review of new
invention disclosures for compliance and completeness, advising of any
missing information or acknowledging receipt of complete disclosures from
faculty.
- Prepare initial IP meeting agenda with typical items for review with input
from leadership.
- Maintain and update Inteum database with information regarding disclosure
and patent application filing.
- Monitor status of disclosures and patent applications entered into Inteum
and diary all statutory deadlines; enter patent license option,
inter-institutional and license agreements (or any other agreement related to
a filed patent application) into Inteum database; ensure timely entry of
data, update and maintain accurate record of technologies in Inteum,
including all actions that affect active/inactive/patent status of an
invention.
- create and manage patent records.
- Assist with preparing annual BOT intangible asset review presentation;
prepare annual input on NJIT activities for AUTM annual report based on
Inteum database and university statistics.
- Update and input mandatory patent filing information for patents arising
under US government grants into government IP reporting system iEdison
database, and/or monitor consultant function; prepare and maintain IP
website.
- Manage intellectual property budget; review and report patent prosecution
budget for presentation to IP Budget Committee, including expected patent
license royalties; and maintain accurate records and accounting of royalty
payments received and timely distribution of net amounts to inventors.
- Monitor/administer IP-related finances including outside patent counsel
legal bill reimbursements and invoicing third parties for the same in a
timely manner
-Develop and oversee IP shared
drive spaces.
- Handle student sequester forms and communicate with library and students
concerning the status of the same with respect to publication of student
thesis.
- Other duties/functions as assigned by the Associate Vice Provost for
Sponsored Research Administration or the Senior Vice Provost for Research.

Prerequisite Qualifications:
- A
minimum of one (1) year of relevant experience in IP administration, higher
education, and/or research administration.
- Bachelor's degree in a related field or equivalent work experience.
- At
the university's discretion, the education and experience prerequisites may be
exempted where the candidate can demonstrate to the satisfaction of the
university, an equivalent combination of education and experience specifically
preparing the candidate for success in the position.

Preferred Qualifications:
- 3-4 years of relevant experience in IP administration, higher
education, and/or research administration.
- Excellent analytical skills including qualitative and quantitative skills,
experience using advanced Excel functions a plus.
- Ability to interact professionally with all levels of university personnel.
- Excellent verbal and written communication skills.
