Description

The Assistant Property Manager assists the senior property Manager with ensuring the overall operation and financial success of a Commercial Class A, suburban office park and retail center in Nashville, TN, in accordance with company policies, procedures, and standards. The assistant property manager also professionally represents Highwoods Properties to customers, vendors, and the general public.

Responsibilities:



  • Build strong customer relationships by proactively addressing customer concerns and inquiries, demonstrating a positive attitude and dedication to providing exceptional service.
  • Assist with customer relations opportunities to promote open communication and trust between Highwoods and our customers.
  • Assist with efforts to help drive customer retention, reduce churn, and increase overall customer satisfaction.
  • Assist with all aspects of the operational and financial performance of the Commercial Class A, suburban office park, and retail center.
  • Maintain contact with customers to ensure solid, reliable relationships, including building specific customer relation programs.
  • Assist in administering a Customer Experience Program to include tasks such as:

    • Coordinate events and work with 3rd party vendors to plan events such as farmers markets, craft fairs, yoga in the park, etc.
    • Assist with additional customer relation items to promote open communication and trust between Highwoods and our customers.
    • Coordinate meeting space reservations.
    • Plan customer appreciation events and administer customer communications.
    • Anticipate and identify customers' needs by responding to issues that may arise during the use of amenities.
    • Develop and maintain cooperative and professional communication with all levels of staff, customers, and vendors.


  • Administer preventative maintenance programs.
  • Review and monitor daily work order reports and weekly outstanding work order reports.
  • Assist with coordinating customer projects and follow-up on customer work requests.
  • Assist in special projects for the department as needed.
  • Assist with regular property inspections to prevent problems/identify opportunities in accordance with department policy.
  • Adhere to company, division, and department policies and procedures and ensure property compliance with codes, regulations, and governmental agency directives.
  • Assist with customer billings and with the collection process as requested.
  • Coordinate customer move-ins (i.e., welcome packages) and move-outs to promote customer relations and protect the property.
  • Assist with assuring optimal functioning of building systems (for example, HVAC, fire/life safety, elevators, and security systems)
  • Assist leasing representatives during the customer renewal process.
  • Review and understand leases related to assigned portfolios.
  • Assist with follow-up on all customers' in and move-out punch list inspections
  • Adhere to OSHA requirements related to the assigned portfolio.
  • Identify and implement procedures to minimize Owners' insurance risks


Requirements:



  • Effective organization, time management, written and oral communication skills.
  • Demonstrated leadership/management skills.
  • Strong interpersonal skills, detail-oriented and analytical
  • Computer proficiency MS Office and Internet.
  • Excellent personal / customer service skills.
  • Must be able to work effectively with teams.
  • Must be able to work effectively in a high-paced, stressful environment.
  • Must demonstrate multi-task abilities.
  • Ability to communicate clearly with technical and non-technical audiences.


Education/Experience:



  • Bachelor's Degree or equivalent combination of education & experience
  • 3 - 5 years experience in full-service commercial property management
  • Proven record of providing excellent internal and external customer service
  • Budgeting/reporting experience helpful
  • Previous experience managing capital improvement projects is desirable


Physical Demands:



  • Must be able to inspect all areas of the properties, including the roof, parking garage, etc.
  • Regularly required to sit, stand, and walk.
