Application Requirements

Northampton County will require all newly hired employees to be fully vaccinated against COVID-19 before beginning employment with the County. This policy applies to all new hires who receive an offer of employment on or after December 1, 2021.

This position works nights, weekends, and rotating holidays - Approximately 5-14 hours per week.

Job Description

GENERAL PURPOSE

The Clerical Technician 2 - Receptionist/Greeter PT - Gracedale Administration is responsible for fulfilling the duties of the reception desk in the nursing home lobby, which is open daily from 8:00 a.m. to 8:00 p.m., including weekends and holidays. This is the first and most important line of public contact for the nursing home, providing assistance to residents, visitors, and callers in a friendly and helpful manner.

The regular schedule for this position will include nights, weekends, and holidays. Additional shifts may be required to cover for illnesses, vacations, etc.

SUPERVISION RECEIVED

This position reports directly to the Business Office Manager and Lead Accountant.

SUPERVISION EXERCISED

This position is not responsible for the supervision of other employees or functions.

ESSENTIAL DUTIES OF THE POSITION

Director of First Impressions - greets guests in a professional, friendly, and hospitable manner; answers routine questions from employees, residents, and visitors, or directs to appropriate staff when necessary.

Provides exceptional customer service by effectively communicating with visitors by telephone, email, or in person.

Politely addresses resident, staff, and visitor questions and concerns.

Provides accurate directions to resident, staff and department locations.

Manages phone system and incoming call flow for Gracedale Nursing Home; manages and maintains general voicemail messages.

Strong ability to perform well and be unfailingly diplomatic in a high pressure and complex environment.

Receives all facility and resident mail for the nursing home; sorts and distributes to appropriate parties.

Posts all outgoing facility mail.

Accepts over the counter cash receipts.

Maintains petty cash drawer.

Operates Resident Bank daily during posted hours of operation.

Makes public announcements over intercom system to facility population as necessary.

May perform general clerical functions in support of the Business Office including, but not limited to: filing; spreadsheet data entry; preparation and distribution of daily/monthly reports; mass mailings; copying; faxing; and other clerical duties as assigned.

May perform visitor COVID-19 screenings which might include disseminating and collecting visitor surveys, temperature readings, and other duties as directed.

REQUIRED MINIMUM QUALIFICATIONS

EDUCATION & EXPERIENCE - Completion of a high school, or general equivalency, diploma; AND

At least one (1) year of general clerical work experience involving a high level of customer service; AND

All employees of Gracedale Nursing Home will be required to attend Feeding Program training.

OTHER REQUIREMENTS - Applicants must be fully vaccinated against COVID-19, and present valid proof of vaccinated status, in order to be eligible for hire at Gracedale Nursing Home. According to the Center for Disease Control (CDC), people are considered fully vaccinated two (2) weeks after their second dose in a 2-dose series (such as Pfizer or Moderna vaccines), or two (2) weeks after a single-dose vaccine (such as Johnson & Johnson's Janssen vaccine).

Upon hire employee must have a drug screening and COVID-19 testing. Employees may also be periodically tested for COVID-19 as required or recommended. In addition, Gracedale Nursing Home will follow The Centers for Medicare & Medicaid Services (CMS) requirements with regard to booster(s) needed for workers in health care settings.

KNOWLEDGE, SKILLS, AND ABILITIES

Basic knowledge of clerical practices and procedures and the ability to use standard office equipment.

Basic knowledge of computers and computer software, including Microsoft Office applications.

Excellent communication and interpersonal skills with the ability to listen effectively, respond appropriately and maintain mutual comfort level while relating to a diverse clientele, both verbally and in writing.

Skill in gathering information from and providing answers to visitors, callers, vendors, residents, members of the public and representatives from other offices both within and outside of Gracedale Nursing Home.

Excellent time management, prioritization, and multitasking skills, along with the ability to maintain sufficient flexibility to respond to immediate demands.

Ability to learn to utilize the necessary software specific to Gracedale Nursing Home.

Ability to establish and maintain filing and other recordkeeping systems.

Ability to preserve confidential and sensitive information.

Ability to maintain composure and tactfully handle sensitive situations.

Ability to establish and maintain working relationships with associates, other facility staff, residents and their visitors.

Ability to read, write, speak, understand, and communicate in English to perform the duties of this position.

Ability to add, subtract, multiply and divide in order to perform the functions of the position.

TOOLS AND EQUIPMENT

Telephone, personal computer (including Microsoft Office applications and other specialized software), calculator, adding machine, microfiche equipment, automatic sorters, collators, fax machine, copy machine, scanner, and other office equipment.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to walk, sit, talk or hear.

The employee must frequently lift and/or move up to twenty-five (25) pounds.
