POSITION SUMMARY:

Acts as the primary secretarial resource for the Chief Executive Officer, Chief Financial Officer, Chief Operating Officer, and Chief Nursing Officer. Organizes the functions in the office including computer work, scheduling, paper flow, and communication. Able to function with the minimal oversight and handles self professionally.

POSITION GOAL:

The Executive Administrative Assistant to Administration should have excellent writing and speaking skills to facilitate responsibilities that entail:

1. Scheduling with symmetry, meetings, appointments, conferences, etc.

2. Verbal communication either by phone or in person with colleagues, physicians, vendors, patients, and visitors.

3. Follow-up with delegated Directors to the Administrative Staff for status of assigned projects, due dates, deadlines.

4. Ensure all written correspondence is typographically and structurally correct, as well as the use of proper syntax.

The Executive Administrative Assistant should be adept in simplifying the flow of documents routed through the Administrative offices; to apprise Senior Leadership of all topical issues while directing less demanding issues to other areas within the hospital; to be flexible in handling changing priorities and demanding schedules; while maintaining a high level of confidentiality. In summary, the Administration Assistant plays a key role in ensuring the CEO's position commands the utmost respect and authority, as well as acknowledging the respect and authority of the Administrative Representatives.

Essential Duties:

This position requires a thorough knowledge of internal policies and procedures. Frequent interactive associations, and clerical tasks are inherent in this position. The ability to retrieve, communicate, and present data and information verbally and in writing is essential. The ability to maintain confidentiality of information is essential. Computer, calculator, typing and telephone skills are required.


What qualifications you will need:

Experience:

1. Minimum of four years secretarial experience; office management experience preferred.

2. Experience in Windows, Microsoft Word, and other software, verbal dictation,

Computer spreadsheets, filing, and typing.

Other Qualifications

1. Window, Word, Excel, verbal and written dictation, typing

2. Must possess analytical and interpretative skills as well as the ability to communicate effectively.

3. Must be able to handle multiple calendars/projects and appointments with changing priorities

5. Licensed Notary preferred
