Cal Teach works within the Physical and Biological Sciences to support students to explore and prepare for secondary math and science teaching careers.

JOB SUMMARY

Cal Teach is a University of California systemwide program that was launched on all UC undergraduate campuses in 2005-2006 to increase both the quantity and quality of new K-12 science and math teachers. At UC Santa Cruz, Cal Teach provides academic and professional preparation for science, math, and engineering majors who are exploring teaching careers. The primary activity of the program is to offer K-12 school-based internships and associated coursework for undergraduate science, math, and engineering majors. After completing the baccalaureate degree, Cal Teach students may enter a teaching credential program or simultaneously pursue work as a teacher and a credential, and the program provides some support for graduates into their early teaching careers. As a unit within the Physical and Biological Sciences Division, Cal Teach cooperates and coordinates with academic departments in three divisions (Physical and Biological Sciences, School of Engineering, and Social Sciences), and with the Division of Undergraduate Education, the Graduate Division, and the Student Affairs Division.

Under the general supervision of the Cal Teach Director, the incumbent provides administrative and program support to program staff and faculty. The incumbent serves as the first contact to the program for students, the campus community, and the public. The Cal Teach program assistant holds substantial responsibility for planning and implementing effective procedures for running the office and supporting the internships and other Cal Teach activities and events. Frequent communication across units is accomplished by the program assistant who must establish and maintain positive working relationships within the campus community. The incumbent helps in recruiting new students and advises and supports prospective and current students on requirements and procedures for participating in Cal Teach and preparing for teaching careers while completing a science, math, or engineering major. The program assistant may select and supervise one or more student assistants each year.

JOB DUTIES

85% - Program Administration and Support

  • Serve as first contact by email, phone, and in person for the Cal Teach program. Provide program information to students, the campus community including campus-wide advising staff, and the public. Maintain a professional and student-friendly office environment and student lounge.
  • Serve as Cal Teach's liaison with divisional and campus business offices. Facilitate and coordinate financial transactions for Cal Teach staff, students, and host teachers. Prepare initial purchase order requests, travel reimbursement requests, etc. Maintain a working knowledge of UC travel and entertainment policies and web resources to advise and assist with all Cal Teach business processes. Maintain cooperative communication with central business services offices.
  • Establish and maintain electronic files on Cal Teach students and events for routine use by the entire Cal Teach staff. Update student and host teacher FileMaker database for tracking student and host teacher participation. Assist in determining appropriate data elements, database structure, and reporting. Extract data from the database to facilitate effective program operations.
  • Support the administration of the Cal Teach internship program, including facilitating TB testing, fingerprinting, and travel reimbursements. Support the planning and implementation of activities to help students prepare for standardized tests, including reimbursement for testing expenses. Help define and refine sustainable policies, communicate with students about policies, and apply policies appropriately.
  • Work with the Education Department, Social Sciences Division staff, and the Cal Teach director to meet the administrative needs of the lecturers and their courses.
  • Establish and maintain financial and administrative records for unit.
  • Order and stock office supplies and special-needs materials.
  • Arrange special events in consultation with the director and internship coordinator. Design and produce invitations, schedule rooms and facilities, and arrange for catering. Participate as a host at events as requested to oversee arrangements and present material as appropriate.
  • Help to develop, monitor, and update the Cal Teach website.
  • Draft correspondence. Gather data and produce tables and charts for correspondence and reports. Produce and distribute correspondence, reports, and other documents.
  • Provide administrative and project support to the director and internship coordinator.
  • Other duties as assigned, including support of grant-funded and other projects.

15% - Student Advising and Recruitment

  • Support Cal Teach student recruitment efforts by planning and implementing recruitment events. Research, write, prepare, and distribute informational materials. Identify and participate in recruitment opportunities in coordination with other campus units.
  • Create and maintain updated files of individual Cal Teach students in conjunction with advising sessions. Maintain database of student records in conjunction with downloaded data from campus databases. Maintain e-mail listings of Cal Teach students and routinely notify students of matters concerning them or of possible interest to them.

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent experience.
  • Written and oral communication skills sufficient to articulate information clearly and interact professionally with a culturally and linguistically diverse population of students, teachers, administrators and staff in one-on-one or small group settings.
  • Experience using or ability to quickly learn new technological tools and skills, including word processing software, web browsers, spreadsheets of medium complexity, desktop publishing software, and databases.
  • Ability to research and apply new information.
  • Ability to maintain a friendly, service-oriented, welcoming office environment for students, university staff, and community partners.
  • Ability to meet deadlines, maintain strict attention to detail, and work accurately with frequent interruptions.
  • Ability to exercise flexibility, initiative, good judgment and discretion, particularly with sensitive or confidential matters.
  • Ability to work well independently as well as part of a team.
  • Ability to supervise student workers.

PREFERRED QUALIFICATIONS

  • Knowledge of the California teaching profession, including the credential process and requirements.
  • Knowledge of science, mathematics, and engineering majors and/or of K-12 science and math teaching careers.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Must possess a valid license to drive in the state of California.
  • Ability to work long periods of time at a computer with or without accommodation.
  • Ability to perform essential physical job functions.
  • Ability to safely perform the physical requirements necessary in storing and moving materials. The ability to lift light to moderate objects up to 40 lbs., with or without accommodation.
  • Will be required to work all scheduled hours on-site.
  • Ability to work occasional evenings and weekends as directed.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to travel to multiple work locations on and off campus.

  • 100% September through June; possible furlough to 50-75% July and August, depending on funding availability.
