About the Job

From flame and catalytic reactor experiments to nanoparticle characterization and sensor development, the T.E. Murphy Engine Research Laboratory (MERL) within the Department of Mechanical Engineering at University of Minnesota remains at the forefront of developing technology needed for the next generation of clean and efficient engines. We are addressing grand challenges facing future prime movers including the need for pollutant emissions reduction, mitigation of carbon emissions, and the implementation of renewable fuels like hydrogen and ammonia. We are also taking on grand challenges including how connectivity and artificial intelligence tools can help improve engines and electric vehicles of the future.

The 6,000-square-foot home of the Thomas E. Murphy Engine Research Lab opened in fall 2013, and is located near the east bank campus at 2811 Weeks Avenue SE, Minneapolis, MN 55414. This lab features two transient double-ended dynamometer test cells equipped with state-of-the-art instruments and control systems. This enables us to expand our research to include alternative fuels, drive-cycle testing and fundamental combustion research. A significant investment was made into our new facility to ensure that the University of Minnesota remains among the top U.S. universities for engines, combustion, fuels, and emissions research. NOTE: The lab is located about 10 minutes east of the University of Minnesota East Bank campus, and is available via bus routes 3A & 3B to Como Ave SE & 29th Ave SE. On-street parking is also available.

The MERL is seeking an executive office and administrative specialist to join our team. This position will support faculty, research staff, and students at the laboratory, helping to keep our facility at the forefront of research. We seek a team member with excellent communication skills, a positive attitude, and desire to learn.

Principal Duties and Responsibilities
This position will provide administrative support to the MERL and Mechanical Engineering faculty members, staff, and students.

Project Administration - 50%

  • Develop timelines and checklists for existing and new grants
  • Schedule meetings with internal and external stakeholders
  • Communicates regularly with stakeholders and project teams
  • Initiates project quarterly reports on behalf of faculty and project teams

Grant Management - 20%

  • Support budget management with departmental accountants
  • Support annual grant reporting

Communications - 10%

  • Maintain MERL Website and Social Media channels
  • Manage distribution lists and mass emails

Lab Admin Support - 20%

  • Email and calendar management
  • Reimbursement and purchasing coordination
  • Work with department administration on position hiring
Qualifications

Required Qualifications:

  • High school diploma/GED and four years of related office experience.
  • Administrative experience in project management. Coursework in a related field may substitute for some years of experience.
  • Experience providing administrative support in a fast-paced environment.
  • Experience planning and coordinating meetings; experience with electronic calendars or other schedule management systems.
  • Experience using a variety of office computing tools including MS Office and Google applications.
  • Ability to effectively function as a member of a team and interact with a variety of stakeholders.
  • Demonstrated initiative in problem-solving and implementing innovative solutions.

Preferred Qualifications:

  • Experience with grants management in a university environment
  • Familiarity with engineering or scientific research
  • Experience providing administrative support to research staff
